Organising funeral attendance: how to keep a clear overview
Who is coming to the service, who to the condolence visit, and with how many people? Organising funeral attendance needs calm and clarity. A central link or QR code helps: invitees say whether they are coming, and you see the total in one overview.
Why one registration route works
Calls, messages and separate emails scatter quickly. Someone tells you, someone else tells a sibling, and the number changes again on the way. With one registration page you know where responses arrive.
That matters when you plan more than one moment: a church service, condolences at home or at the funeral home, and sometimes a separate farewell at the cremation. A separate link per moment keeps the counts clear.
What to put on the registration page
At minimum, add date, time and location. A short introductory text helps invitees understand why they see the page and what you ask of them.
You can optionally show a photo of your loved one, with candles beside it if you wish, and a personal thank-you message with a signature after registration. That makes the page feel part of the farewell, not an anonymous form.
Ask invitees to say how many people they bring. For coffee, seating or a small reception that makes an immediate difference.
Share a link or put a QR code on the mourning card
Share the link by email, WhatsApp or SMS. On the mourning card a QR code often works better: invitees scan and land on the right page.
Download the QR code as PNG or JPEG and send it to your printer. Before print, check that the link is active and that date and location are correct.
Multiple locations, one project
Does the funeral have more than one part? Create a separate link per location with a clear label, for example “Church service” or “Condolence visit”. That shows how many registrations and people you can expect per moment.
In The Last Farewell, registration belongs to the same project where you also create the photo presentation for the funeral. You collect photos with family via a link; you align music to the length of the track; on export you choose PowerPoint, numbered JPEGs or the Farewell Player. Invitees do not need an account to register.
Practical tips for the family
1. Share the link early, but not too often
Send the link once date and location are set. One clear message with the link or QR code avoids confusion.
2. Name who keeps the overview
Assign one person to follow registrations. Not everyone has to answer the same question.
3. Check again shortly before the day
Look at the total number of people a day before. That helps with coffee, seating or a small reception.
4. Allow for quiet registrations
Not everyone fills in a name. The total number of people then guides your planning.
Attendance and presentation in one platform
The Last Farewell is built around making a farewell together. You can start for free with photos and music; you only pay when you export and are satisfied. iPhone photos (HEIC), JPEG and PNG work directly. While creating you search music via Spotify or YouTube; on export you receive MP3 files.
For funeral directors, the project can use branded styling so the registration page matches the support the family already knows.
Frequently asked questions
Do invitees need to log in?
No. They open the link or scan the QR code and confirm immediately whether they are coming.
Can invitees see each other's names?
No. Only you see the overview of registrations in the project.
Can I reuse the QR code after a change?
As long as the same link stays active, the same QR code keeps working. If you delete a link, its QR code stops working.
What if someone registers twice?
The page limits misuse where possible. If in doubt, use the total number of people as your guide and check with the person if needed.
When is attendance registration available?
After you export your presentation, or when your funeral director created the project for you.
Does this suit a small, informal funeral?
Yes. Even with a small group, one link reduces scattered messages. You do not need a heavy system.
